CIS is one of the largest importers and distributors of ornamental fish from the Asian Region; CIS is also the largest supplier to PETCO which is one of the largest Pet Store Chains in the USA. The nature of the fish and other animals being handled need specific handling instructions to be followed exactly during the receipt, treatment, and repack phase. CIS employees' casual labour to manage the warehouse and the packing operation. The staff is paid a daily rate with bonuses for completing all assigned tasks accurately and on time.
Business Problem
Most of the employees are Hispanic and day workers and therefore need exact and written down instructions.
The pay structure is based on weekly performance bonuses, tracking performance and calculating the incentive therefore is major administrative function with a great deal of room for interpretation, subjectivity and misuse.
The Management needs to schedule the main processes and also provide detailed instructions to perform each task - which is time consuming and cumbersom.
Tasks relating to the management of the tanks from Oxygen levels, medication and water temperature vary from species to species. Therefore it is impractical to use individual processes to manage each day's tasks.

Mapped basic generic processes for each department within CIS.
Created a form generator which enabled CIS to add their own set of instructions to these generic processes. Users have the ability to use already created instructions templates or create their own.
Each divisional supervisor can allocate the routine tasks to his employees and schedule them on the required dates.
An employee can manage view his schedule for the foreseeable future and can plan his duty roster with the supervisors accordingly.
The management gets a consolidated email at the end of each day - giving details of completed tasks and tasks which remain incomplete due to unforeseen problems.
When setting tasks managers use a weighted average index to assign bonus points for each task list and subtask.
The system auto corrects and provides accounts and management a weekly summary after converting points earned based on a matrix to its dollar equivalent.
